User Guide - Team Collaboration

Learn how to use Whisp's team collaboration features to work together on video annotations and projects with your teammates.

Getting Started

What is Whisp?

Whisp is a video footnote tool that lets you capture short video snippets and add annotations to web pages. With team features, you can collaborate with your teammates on shared projects.

Account Types

  • Free Account: Create personal projects and annotations
  • Pro Account ($19/month): Enhanced personal features
  • Team Member: Access to team workspaces (requires team subscription)

Working with Teams

Joining a Team

When a team owner or admin invites you, you'll receive an invitation email.

Open the invitation

Click the invitation link in your email (or copy/paste it into your browser).

Sign up or sign in

If you don't have an account, sign up using the same email address that received the invitation.

Accept invitation

Click Accept Invitation to join the team.

Start collaborating

You'll be redirected to the team dashboard where you can access all team projects.
What happens when you join:
  • You're automatically assigned a unique annotation color
  • You gain access to all team projects
  • Your role determines your permissions (Member, Admin, or Owner)

Team Roles Explained

RolePermissions
OwnerFull control - manage members, billing, delete team

MemberView team projects, add annotations, create team projects

Creating Projects

Projects help you organize your video recordings. You can create personal or team projects.

Personal Projects

Personal projects are only visible to you.

Navigate to Projects

Go to Projects in the navigation.

Create new project

Click New Project and enter project name and description (optional).

Keep it personal

Do NOT check "Make this a team project".

Save

Click Create Project to save.

Team Projects

Team projects are shared with all team members.

Click New Project and enter project name and description (optional).

Enable team sharing

Check Make this a team project and select which team to share with.

Click Create Project to save.

Recording & Annotating

Using the Browser Extension

Recording a video:

  1. Navigate to the page you want to record
  2. Click the Whisp extension icon
  3. Choose Video or Audio mode
  4. Click Start Recording (or press Alt+Shift+W)
  5. Perform your actions (max 1 minute)
  6. Click Stop Recording
  7. Wait for upload to complete

Creating Annotations

Annotations link specific text on a webpage to your video.

  1. Visit the page where you want to add context
  2. Select the text you want to annotate
  3. Right-click → Create Whisp Annotation
  4. Select the video timestamp
  5. Add a note (optional)
  6. Save

Understanding Annotation Colors

Why Colors Matter

When working in team projects, each team member is assigned a unique color. This helps you quickly identify who added which annotation.

Your Annotation Colors

To see your colors:

  1. Go to Settings in the navigation
  2. Scroll to Team Annotation Colors
  3. You'll see a color swatch for each team you're in

Managing Your Profile

Updating Your Information

  1. Click Settings in the navigation
  2. Update your First Name, Last Name, Job Title
  3. Click Save Changes
Why this matters: Your name appears in annotation tooltips and helps team members identify your contributions.

FAQs

General

Q: Can I see other team members' personal projects?

A: No, only team projects are shared. Personal projects remain private.

Q: What happens to my annotations if I leave a team?

A: Your annotations remain visible to the team, but you lose access to view them.

Q: Can I change my annotation color?

A: No, colors are automatically assigned to ensure uniqueness.

Projects & Videos

Q: Can I move a video from a personal project to a team project?

A: Yes, edit the video and change its project assignment.

Q: Can I create team projects in the extension?

A: Yes! When creating a project in the extension, you'll see a "Make this a team project" checkbox if you're in any teams.
